North Greene High School Band Boosters

Meeting Minutes

Date: Thursday, July 2, 2015
Place: TA Restaurant, Baileyton
Time: 6 pm

Attendees: Summer Robertson, Louis Robertson, Michelle Miller, Heather Youngblood, Dale Trombley, Brandon Woods, Angel Cox, Lisa Laughters

Meeting was called to order at 6:03 pm by President Summer Robertson

Special Presentation: Butterbread Fundraiser

The sales representative for Butterbread came to tell the group about the fundraiser and brought samples of each flavor.

 Details as follows:

2-week selling period (orders to be turned in on a Monday by 5 pm for delivery the same week)

$14 price, would yield a $6 profit per piece

Butterbread orders would arrive at the bandroom frozen and pre-sorted by student.

Free shipping on the total order if over 300 pieces.

Sales rep would provide posters and yard signs for advertising

Angel made a motion to pursue the fundraiser, Summer seconded.  All approved.

The group decided to do this fundraiser beginning August 14, with all orders due August 28.

If this fundraiser is successful, we will repeat it at Easter.

June Secretary’s Report:  Angel made a motion to accept the minutes as written, Brandon Woods seconded. All approved.

Treasurer’s Report:

On hand at end of June:

General Funds $765.51

Uniform Fund  $521.64

Total Assets for the end of June $1287.15

-2 NSF checks returned to the boosters in April still have not been collected. Both parents will be contacted again in an attempt to resolve. The $200 Charleston trip payment has not been received.

Fundraising Opportunities:

The Full Moon Harvest Celebration will be held in Greeneville August 29 from 8am to 2pm.  Heather suggested that the boosters set up a booth to sell something.  Booth rental is $10. The group decided that drinks would be a good thing to sell.  Summer made a motion to sell at the event, Michelle seconded.  All approved.

Car Wash July 18 at O’Reilly’s Auto Parts in Greeneville: Summer and Louis will donate hot dogs, the store will provide buckets, soap, etc.  Michelle will be in charge.  Volunteers are needed.

Bulls Gap Race Track parking cars on August 20– boosters will direct cars as needed.  $500 payment for our service.

Baileyton Ruritan Meal August 20– Boosters will provide the meal for the Ruritan meeting.  Angel is in charge of planning the meal and collecting donations of food items from band students.

Krispy Kreme Doughnuts: May be sold in advance for $8/dozen.  It was suggested that the boosters might sell doughnuts individually in the concession stand at football games.  Summer offered to get more information and report back.

A Zumba Night was discussed. 

Mustang Alley Horse Rescue holds events periodically, and invites groups to rent booths to sell things.  They specifically want food vendors (popcorn, snow cones, etc) Angel will contact them to let us know when the next event is. Booth rental is $25.

Hosting a Dinner at Baileyton UMC during the winter was suggested.  Tickets would be pre-sold.  This idea will be revisited at the October meeting.

Personalized Water Bottles: Louis told about a company called “Label My Water” that offers bottles of water with a personalized label.  They are sold by the pallet, 900 bottles.  It was suggested that sponsors might donate funds in exchange for putting their names on the label. No decision was made.

Walmart-front door set up: Angel will get information on how the boosters can set up a table in front of the store for some type of fundraising.

Roadblock-July 25th at the crossroads in Baileyton-Summer will request permission from the town.  Volunteers are needed.

Baileyton Days will be discussed at the August meeting.

Cap’n D’s Coupon Books: No charge to the boosters, books sell for $5 each.  Mr. Woods has some in his office.

New Business:

-Music Doctor orders will be taken on July 13 during band camp. Students that order equipment, shoes, etc. will be expected to pay for these items.

-The need for some way to connect band parents and the booster club was discussed.  Mr. Woods mentioned that parents sometimes approach him wanting to know how to help.  Dale offered to print business cards with Summer’s contact information for Mr. Woods to give to parents.

-Heather suggested that the boosters consider a service called “Remind” that will send text message reminders to parents, etc. with important information.  More research is needed and phone numbers would need to be collected.

-Boosters will host a band camp dinner on July 24, the last day of camp.  Details to be determined soon.

Meeting Adjourned at 7:35 pm

Next meeting will be held at the band room, August 6 at 6 pm.  All parents are invited to attend.
