October 2015 Band Booster Meeting Minutes

Meeting MinutesDate: October 1, 2015

Place: North Greene Band Room

Time: 6 pm

Attendees:  Summer Robertson, Dale Trombley, Brandon Woods, Heather Youngblood, Louis Robertson, Michelle Miller

Meeting was called to order at 6:15 pm by President Summer Robertson.

Secretary’s Report: Summer motioned to accept the September minutes as written. Brandon seconded.  All approved.

Treasurer’s Report: 

On Hand at end of September:

General Fund: $2998.32, Uniform Fund: $1034.52. Total Assets at end of September: $4032.84

Payables Outsstanding: Composer $1000, Music Doctor $899, T-shirt order $800 (approx) Colorguard Uniforms $200 (approx) New Bibbers $150 (approx)

Old Business:

NSF checks received for the Charleston trip last March are still not paid.  The total amount of $1020 includes checks from two families, covering the student’s trip expense as well as parents’ trips.  This is a huge burden on the band program and needs to be taken care of soon.  These parents have been contacted repeatedly and both have agreed to pay, but no payments have been received as of the beginning of October.  The associated students will not be allowed to go on the Spring 2016 trip unless the debts are paid.

Christmas Craft Fair– Summer talked to Mrs. Weems about the craft fair idea.  It will not be able to happen this year.

New Business:

Small Fundraiser ideas:

Walmart-tabled.

TSC-tabled until spring.

Large Fundraiser ideas:

Dance in gym- Mrs. Weems says that the homecoming dance only brings in a small amount of profit for the trouble and she doesn’t think another dance at the school would be a good idea.

Grants- Mr. Woods is working on one now.  Other opportunities were discussed.  A grant writer is needed to make this effective.

Sponsorship Letters-Summer is working with someone to write a letter to send to local businesses.

Applebees-Michelle will check on the possibility of doing a fundraiser there.

Ponchos: This weekend, the students will need ponchos for the competition.  All present agreed to check local stores so that a total 0f 40 would be found.

Tarps: Louis said that he needs two tarps to cover equipment as it is transported from the trailer to the venue.

Next meeting will be November 5 at 6 pm in the band room.  Please make plans to attend.
