Band Booster Meeting Minutes for September 2016

 

The meeting was called to order by President, Michelle Miller.

Time:  6:15 pm

Date:  01-Sep-2016

Place:  NGHS Band Room

Prior to beginning the meeting, Michelle Miller explained that the office of President had been vacated and a new slate of officers had been elected by the Executive Board on 01-Sep-2016.  The new officers were introduced to the attendees:

  • President:  Michelle Miller
  • Vice President:  Angelique Gass
  • Secretary:  Jamie Bartlett
  • Melody Weidleman will remain as Treasurer

 

Treasurer’s Report:

  • Beginning Balance:  $4199.11
  • Ending Balance:  $3405.28
    • Regular account balance:  $1282.31
    • Uniform Fund:  $1982.97
    • Cash Fund:  $140.00
    • Total assets on hand at end of August 2016:  $3405.28

Melody stated that the concession stand brought in $680.45 for the first home game held 19-Aug-2016 against Unaka.

There was no further discussion or questions regarding the Treasurer’s Report

Approval of Treasurer’s Report:

  • Motion to approve was made by Jamie Bartlett
  • The motion was seconded by Kyle Gorbski
  • The Treasurer’s Report was approved by all attendees with a show of hands

 

Old Business:

  • A Yard Sale will be held at Baileyton School on Saturday, 03-Sep-2016, from 8:00 am-2:00 pm or longer if there is interest.  A Road Block will be held at the intersection by Baileyton School in conjunction with the Yard Sale from 9:00 am-12:00 pm.  Only adults will be able to participate in the road block.  Band members and color guard are encouraged to perform on the school property during the functions.
  • Baileyton Days will be held 09, 10, and 11-Sep-2016.  Volunteers are needed to work in the Band Booster tent over the weekend.
  • Color Guard Car Wash Fundraiser:  The car wash previously scheduled for 09-Jul-2016 is to be rescheduled.  Date to be determined.  There was no discussion on this fundraiser during the meeting.
  • Hotbox:  Geoffrey Miller built a hotbox for the concession stand that was successfully used at the first home game.
  • Competition Shields/Backdrops:  No discussion was held on this old business.  From minutes of 04-Aug-2016 meeting:  Angelique Gass donated the money for materials needed for the shields.  Geoffrey Miller is donating time to build shields for competition program.  Additionally, Geoff is asking his employer about donating money or wheels for back drops.
  • Applebee’s Pancake Breakfast will be held 12-Nov-2016.  There will be more information released closer to the fundraiser.
  • Band Trailer Magnetic Sign:  No discussion was held on this topic.  From the 04-Aug-2016 meeting minutes:  Melody is donating the sign for the trailer.  A to Z Specialty Lettering is making the sign.

New Business:

  • Backdrop for competition:  Michelle will work on the backdrop this week.  All of the paint and materials have been purchased at Lowe’s.
  • Uniforms:  There are not enough band uniforms for all members.  Therefore, the decision has been made to purchase uniforms consisting of a black long-sleeved dress shirt with a Superman logo underneath.  The black overshirt will be held together with Velcro, so it can be easily separated at the end of the performance to show the Superman shield.  Mr. Woods is still waiting on a quote for the price of the shirts.  The Velcro has been purchased.  The undershirt will need to be purchased by parent, but there is no total for this shirt, as of yet.  The band will pay or a fundraiser will be used to pay for the black overshirt.
  • Fundraisers:  Quite a bit of discussion was held regarding fundraising ideas for the upcoming year.
    • Kasey Herrington, a representative with Great American, presented a tumbler fundraiser for the group.
      • The tumblers would be 24 oz and keep drinks hot or cold.  The tumblers are similar to Tervis.  Any SEC team or other decorations could be chosen.  In addition, the tumbler could be personalized for NGHS.  A minimum of 48 would need to be bought ahead of time for this option.  There is a $50.00 artwork fee, but in return the school would get 2 free tumblers.
      • The tumblers typically have a 2-3 week turnaround time, but if we got them customized for NGHS, it would take approximately 2 additional weeks.
      • Great American provides fliers and a brochure for the students to show to prospective buyers.
      • The tumbler orders would come in individualized boxes with the child’s name on them, so no sorting is needed.
      • This fund raiser has not been done in Greene County, per Kasey.
      •  The tumblers would be $20.00 each and the profit for the band would be 40% ($8.00/tumbler sold).
      • Kasey recommended a 59 minute fundraiser where members of the band collected a list of prospective buyers, make a call to the buyers from the school during a designated one hour period, and Kasey would provide prizes for meeting sales goals by the students.
      • If this fundraising idea is used, it would probably be during the Spring semester.
    • The fundraising suggestions made by Jamie Bartlett at the 04-Aug-2016 meeting were sent to Mrs. Weems for approval.  Mr. Woods has met with Mrs. Weems, but no final approval has been sent.
    • Discussion was held regarding selling carnations at Valentine’s Day and possibly Spook-o-Grams at Halloween.  Jamie Bartlett to get price from florist for carnations.  No decision was made regarding either fundraiser.
    • Melody asked if anyone had any other ideas.  Discussion was held on selling Little Caesar’s pizza kits.  It was noted that the profit on pizza kits was $5.00 per kit.  Nikki Pierce asked if we could do two sales at one time – cheesecakes and pizza kits.
      • A motion was made by Marcia Phillippe to sell both cheesecakes and Little Caesar’s pizza kits concurrently in the Fall.
      • The motion was seconded by Kyle Gorbski.
      • The motion passed unanimously by a show of hands.
    • There was a suggestion to partner with Gateway Ford and ask them to donate $20.00 for each test drive done during a specific period of time.  This fundraiser could be done in the Spring.  No other discussion was held on this topic.
    • Michelle Miller stated that Krispy Kreme donuts will be sold at the next home game against West Greene on 09-Sep-2016, as well as at the Baileyton Days tent.  Michelle ordered 100 dozen donuts for these events.  Discount cards will also be sold.  The donuts will be $10.00 per dozen and the cards will be either $15.00 or $20.00 each.
  • Show Shirts and Drum Heads:  Michelle Miller and Mr. Woods discussed that show shirts still need to be ordered.  Two new drum heads were ordered and are currently being shipped.
  • 2017 Spring Band Trip:  Kyle Gorbski provided a brief estimate on a Spring band trip to New York City.  Based on his current calculations, the trip would cost $350.00-$400.00 per person.  He will have a full mock up for the trip at the next meeting in October.
  • Concession Stand:  Michelle Miller stated she will be working to clean up the concession stand this coming Tuesday, 06-Sep-2016, and getting it prepared for the home game on Friday night.  Volunteers were requested to help if available.
  • Insurance for pulling band trailer:  Michelle Miller has secured quotes on changing insurance to pull the band trailer.  Greene County used to cover the insurance for the band, but now the band has to pay for it themselves.  The quote from Progressive was $146.40; Geico was $117.94.  The new insurance will be approximately $150.00 less per month than our current insurance.  Michelle said the new insurance would be effective as of 08-Sep-2016.
  • Uniform Fund:  Nikki Pierce made a suggestion that one person be over a dedicated uniform fund.  She stated that she felt we needed to involve the Middle School students, as well, since they will benefit from the uniforms in the future.  We need to set a goal now and set a projected date for us to purchase the new uniforms.  It is estimated that the new uniforms will cost $10,000-$15,000.  Nikki went on to suggest a “10 for 10” fundraiser where band members contact 10 people and ask for a donation of $10.00 from each person.  She also stated that we might be able to get a business to sponsor a uniform, but we would need to get an amount for the uniform before we could approach a business.  Mr. Woods stated that they are looking at new uniform designs now.
  • Mr. Woods brought up the possibility of having a meal prior to the Christmas concert at NGHS in December.  More details would be provided closer to the event.
  • Michelle Miller stated that she would try to send a newsletter out every month to band booster parents either by mail or email.
  • Nikki Pierce suggested having a point person for each grade and school for the Middle School band to get them more involved.
  • It was discussed that it would be useful for the band boosters to use the Remind Me app.  Mr. Woods to contact Mr. Rosenbalm to check on this possibility.

Meeting Adjourned:

  • A motion was made by Kyle Gorbski to adjourn the meeting.
  • The motion was seconded by Mr. Woods.
  • The motion passed unanimously by all attendees.

The meeting was adjourned at 7:26 pm.

 

Next meeting will be held on Thursday, 06-Oct-2016, at 6:00 pm in the NGHS Band Room.  All band parents are encouraged to attend.
