Band Booster Meeting Minutes for May 2017


The meeting was called to order by President, Tanya Jones.

Time:  6:00 pm

Date:  May 9, 2017

Place:  North Greene High School Band Room

Treasurer’s Report: Melody was not able to attend the meeting. She is following up with Mr. Woods on May 10, 2017. No financial report available for May minutes

Krispy Kreme Cards

There are 22 cards remaining. The cards will be passed to Samantha at the June Booster meeting.

Student Fair Shares and Music Doctors Payments Outstanding

Mr. Woods and Mr. Gorbski are continuing to follow up with students and parents about outstanding payments. The Boosters is determine the total outstanding balances. Per Melody, outstanding Fair Shares are approximately $2,000 and Music Doctors is $300. No updates received for May meeting.

Cherie Cain paid for the cakes that were bought for the awards banquet. Instead of receiving money back, she wants that money deducted from her children’s fair share for the next school season.

Spring Trip Hotel Refund

No communication has been received from hotel regarding the refund. The invoice did add up with the trip details. Mr. Woods to follow up with Kyle on trip hotel invoice. There are still several families that overpaid and need refunds.

There was no further discussion or questions regarding the Treasurer’s Report

Remind Me App

App was discussed in September. The app is tool that would be used as a communication source for band boosters. Mr. Woods was to follow up with Mr. Rosenbalm. No updates at May Band Booster Meeting.


Moving forward. Our contact is working on giving us a quote. Students were fitted in May. Information available May 10, 2017. The design is similar to what was communicated.

Trailer Logo

Two designs reviewed in March 2017. Trailer Logo was tabled during the April Band Booster Meeting. No updates at May Band Booster Meeting.

When: 12:00 p.m.

Call Time: 10:45 a.m. at Tusculum College

Attire: Concert

Trailer & Instruments:  Trailer and instruments pulled to Tusculum College by Doug Mrock.

Trophy shelf

Mr. Woods to contact Lowe’s to see about them donating the materials needed for the shelf. Previous band member parents offered to donate time to make more shelves (Wilbur and Angel). Mr. Woods may also ask about uniform donation during the call. Paint, wood, and mounting materials are needed. The Band Boosters will vote in March if there is a cost that needs to be paid by the boosters. No vote occurred. Topic not discussed in April or May.

Concession Stand

The concession stand will serve Frito pies, funnel cakes, husky paws, and homemade chili. Pulled pork may be served and Nikki is going to contact Cuz’s and Baileyton Restaurant. Additionally, the band concession stand must not compete with other stands. Nikki will also get with Kim to see about serving concessions to the visitor side during games.

Concession Stand Lights Outside

Lights do no work. Mr. Woods to follow up with Mrs. Weems. No Action.

The Band Perry

Mr. Woods to contact Chuckey Doak High School (CDHS) Band director about a The Band Perry giving a donation for band uniforms. There is a contact at CDHS. No action.

Garth Brooks and Trisha Yearwood

Nikki to contact a Baileyton resident who has connections to Garth and Trisha. No action.


The Middle School 10 for 10

The fundraiser was conducted April 25, 2017 from 5:30 p.m. to 7:00 p.m. Pizza and drinks provided to the students. Updates needed to determine if students have turned in money.


The Ruritan dates have been received for Spring &Summer.  The band boosters receive $150.00 each time they serve a meal during the Ruritan meeting. The Booster decided to have students, who have outstanding band balances, to help serve during the fundraiser.

Menu: 3 vegetables, bread, dessert, sugar free dessert, drinks (regular and diet)

Mandi Mitchell is the contact for the Ruritan.  Jamie should have Mandi’s phone number.

Krispy Kreme 

Cards Remaining: 22 Krispy Kreme cards remaining to sell. Boosters paid $8.00 each for the cards and are trying to sell them for $15-16 each.  There was conversation to sell at a lower cost. Any money obtained is all profit. The cards will be given to Samantha at June Booster Meeting


Mr. Woods indicated that the minimum order quantity is 48. The sell price would be $12.00 per tumbler. The vendor indicated 1 two week turnaround. The Boosters decided that we would need to pre-sale not pay the up-front cost of $576.00. The fundraiser was tabled.

Chick Fil A Fundraiser

Next Chick Fil A Fundraiser not established. The meal consists of a sandwich, regular chips, and water.

Concession Stand – Fall

Nikki to head up the committee to obtain parent sign up for Fall Concession Stand.

Instrument Transportation – Fall

The band needs 6 to 7 parents to rotate pulling instruments to ball games, competitions, concerts, parades, and graduation. Boosters is working on upcoming season.

Alumni Recognition – Fall

Incorporate North Greene High School Band Alumni into Homecoming in the 2017-2018 school year.

North Greene High School Band’s 10th Anniversary

The Band Boosters and Student Body Band need to brainstorm ideas on how to celebrate the Husky 10th Anniversary. Discussed purchasing and selling t-shirts which money raised would be awarded to a senior as a scholarship. A committee would be selected to oversee the selection process. The committee should be comprised of members not affiliated with the band program at North Greene.

Middle School Parent Contact List

Mr. Woods to send Nikki the middle school contact list.

Band Booster Officer Nominations

Tanya Jones nominated as President; Crissy Rimer nominated as Vice President; Jamie Bartlett as Secretary; Samantha as Treasurer, and Lisa Laughters nominated as Assistant Treasurer.

Nikki Pierce nominated as Concession Liaison (includes parent volunteer schedule, menu, student cleanup after game schedule, and so forth), and Fundraiser Leader.

Mr. Woods to get Samantha and Lisa’s phone numbers. Additionally, Mr. Woods gave Samantha contact information for Melody so that the Treasurer information can be updated. Samantha and Lisa will contact Melody.

Mr. Woods and Melody to meet with Mrs. Weems on the end of school audit after school is out.

Hardin’s Chapel and Ruritan Donations

Mr. Woods working with church about raising money for uniforms. The church wants to help raise money for uniforms. Mr. Woods and Nikki to discuss with the church.

All local ruritans want to donate money. More information to follow in upcoming meeting.

Band Camp

Lunch will be served the last day of camp. There will be a mandatory parent meeting at pick-up.

Percussion Instructor

Percussion instructor to cost $300 to $400 a month for upcoming marching season.

Transportation in Upcoming Season

Transportation may cost more in the upcoming season.

Fall Jamboree

The Fall Jamboree is August 13, 2017. The band may be playing during the Jamboree.

Next meeting will be held on Thursday, June 8, 2017 at 6:00 pm in the North Greene High School Band Room.  All band parents are encouraged to attend.
