Band Booster Meeting Minutes for October 2017

 

The meeting was called to order by President, Tanya Jones.

Time:  6:13 pm

Treasurer’s Report:

Samantha Brown provided the Treasurer’s Report.  Account balances listed below.  

As of 05-Oct-2017:

  • Starting Balance:  $23,961.58
  • Ending Balance:  $26,978.44
    • Uniform Fund:  $20,130.70
    • General Fund:  $6,847.74
    • Cash:  $200.00

 

  • 22 band members have not returned their fair share fee.  Letters were sent home to parents via the band members by Mr. Woods.  Jamie to post a reminder using Remind app.
  • We currently owe $1500.00 for the marching/competition music and $100.00 for the voiceover that will be paid prior to next meeting.
  • Samantha stated that the band needs an extension to the 990EZ form for tax exempt status.  The cost will be $100.00 for the extension.  It will cost $300.00 for the form if Samantha completes it, herself.  It will be $500.00 to have an accountant complete the form.
  • Samantha renewed the Parent Booster USA membership this month, which allows the band to be a 501C3 organization.

 

Old Business:

  • Fun & Games
    • The Fun & Games night held 28-Sep-2017 brought in $3,491.20, which is currently reflected in the general fund.

 

  • Alumni Dinner
    • We will be holding a dinner for the alumni and current band member on 13-Oct-2017 from 5:00-6:00 pm before the football game.  Dinner will be $5.00 per plate for both alumni and students.  We will be serving hot dogs, chili, baked potatoes, chips, dessert, and drinks.  Food should be at the high school by 4:30 pm.
    • Current donation list:
      • Vickie Jones – 2 crock pots of chili and 40 hot dogs with buns
      • Crissy Riner – chili and hot dogs
      • Nikki Pierce – baked potatoes
      • Samantha Brown – cheese and sour cream
      • Tanya Jones – dessert
      • Crystal Marshall – dessert
      • Jamie Bartlett – dessert
      • Mark Laughters – tea and chips
      • Mr. Woods – drinks
      • Kathy Stone – chips
    • Jamie to post on FB and Remind for additional food and drink donations by parents.

 

  • Uniforms
    • The uniform representative spoke with Mr. Woods and Marcia Phillippe on 05-Oct-2017.  The estimated cost for uniforms is as follows:
      • Total cost:  $210.00
        • Jacket:  $81.98
        • Gauntlet:  $40.08
        • Hat:  $62.94
        • Plume:  $25.00
          • Bibbers: $100.00 with NG emblem; $50.00 without emblem
          • Tough tote for hats:  $525.00

 

    • The original uniform cost was $246.85, so the $210.00 amount reflects a decrease.
    • The goal is to purchase 70 uniforms
    • The uniforms should be ready within 3 months of the order
    • The grand total for 70 uniforms at this price, including tough totes for hats and other items is $24,518.00
    • Discussion was held on purchasing uniform without the hat and just getting new plumes for the existing hats.
    • Decision was made to move forward with purchasing jackets, gauntlets, and plumes now and to raise money to later purchase new bibbers, hats, and tough totes, which should bring the total amount needed closer to $20,000.

 

  • Fundraisers:  
    • Cheesecakes will go on sale for two weeks starting 06-Oct-2017.  
    • Christmas Concert Dinner and Silent Auction
      • Christmas Concert date TBD
      • Will serve chili, baked potatoes, dessert, and drinks before the concert.  There will also be a silent auction during the dinner.
      • Looking for each class and each middle school to provide a basket for the auction
      • Request for parents to donate baskets, craft items, etc, that could be auctioned off
      • Corn hole set is being donated from the Cain family as an item to raise money
    • Papa Johns in Baileyton has offered to do a fund raiser where the band will get a percentage of sales for one day.  Decision was made to wait until Spring for this fund raiser.
    • Chick fil a – The band would like to make more Chick fil a deliveries to local businesses.  Jamie to post on FB and Remind to see if any parents would be interested in getting an order together at their work place for delivery.

 

  • Remaining Competition Dates:  
    • 07-Oct-2017:  Music in the Castle – Tennessee High School – Bristol, TN
      • Call Time:  7:45 am
    • 14-Oct-2017:  John Battle Competition
    • 21-Oct-2017:  Appalachian Classic – Sullivan Central High School – Blountville, TN

New Business:

  • Color Guard Fundraiser at Casa Guerrero on West Main Street, 12-Oct-2017.  Color Guard will serve customers from 6:30 pm-close.  The restaurant will be donating 10% of sales from the entire day.  Jamie to post a flyer on Facebook for others to share.
  • The band will march in the Greeneville Christmas Parade on 03-Dec-2017.  Call Time TBD.

 

Meeting Adjourned:

The meeting was adjourned at 7:11 pm.

 

Next meeting will be held on Thursday, 02-Nov-2017, at 6:00 pm in the NGHS Band Room.  All band parents are encouraged to attend.
